If your guests come from different cities or districts, it is worth finding out where they will be starting from at the stage of confirming their attendance. This will allow you to effectively plan the route or decide on the number of vehicles. Sometimes it is more cost-effective to rent two smaller buses traveling different routes than one large coach circling many places – this shortens travel time and facilitates logistics. Plan pickup points for guests instead of organizing pickup for each person from their home (which is usually unfeasible). These could be, for example, central places in given towns: the market square, the parking lot at the church, a gas station near the departure route, etc. Agree on the departure time from each point in advance and inform guests to arrive a few minutes early. A good idea is to prepare a written schedule of trips – detailing the places and times – which you will distribute to guests (e.g., in the form of an insert to the invitation or an email). Thanks to this, everyone will know when and where to be to use the transport.

Coordination with drivers and the schedule. On the wedding day, it is worth appointing a person (e.g., the best man, a sibling, or a wedding coordinator) who will take care of communication with the bus or coach driver. The driver should receive a list of intermediate stops and the phone number of this contact person in case of delays or sudden changes. Similarly, this person should have the driver's number to check if everything is going according to plan. Pay attention to the distance from the wedding venue: ideally, if the hotel is within walking distance or a few minutes' drive from the wedding venue. Thanks to this, guests will quickly reach their beds after the party, which is important especially on colder nights or when tired after an all-night party. If the wedding takes place in a hotel or wedding house with accommodation facilities, definitely consider using these places first – they often offer preferential rates for wedding guests and convenience (guests do not have to travel anywhere else). When the wedding venue does not have its own rooms, look for accommodation within a few kilometers. It is good to have at least 2-3 proposals for guests – so that they can choose something consistent with their budget and preferences. If most of the invitees live near the wedding venue, accommodation will only be needed for visitors – local participants will most likely return home after the reception. On the other hand, when the wedding venue is hundreds of kilometers away from the home of many invitees (destination wedding), it is worth considering booking rooms even for two nights. Arriving a day earlier will allow visitors to prepare for the ceremony in peace, and staying until the day after the wedding – to rest after the party and possibly take part in the after-party.

Budget vs. luxury accommodation options. Your guests will likely have different expectations and financial possibilities regarding accommodation. Therefore, when preparing the list, include both cheaper accommodation (e.g., guesthouses, inns, guest rooms, or 2-3 star hotels) and more luxurious options (comfortable 4-5 star hotels, elegant villas, or boutique guesthouses). Thanks to this, everyone will find something for themselves – younger people or friends can choose an economical variant and stay together, while older family members or guests who value comfort will use more expensive hotels of a higher standard. In the description for guests (e.g., on the wedding website or in a separate flyer), you can briefly characterize each proposal: provide an approximate price per night, distance from the venue, any amenities (breakfast, parking, air conditioning, etc.). Such information will make it easier for guests to make a decision. If there are tourist attractions or nice views in the area, it is worth mentioning that a given guesthouse is located, e.g., by a lake or in the center of a charming town – this is an additional asset for visitors who may want to extend their stay for the weekend.

It is important to ask about the terms of group booking: by when the final number of rooms must be confirmed, whether a deposit is required, and what the cancellation rules for unused places are. Also, agree on how guests will book rooms from the pool – whether they should do it individually, providing a password (e.g., your surname or the password "wedding"), or whether you as the Bride and Groom will provide a list of names. Such clarity will prevent chaos – guests will know how to use the prepared accommodation options, and the hotel will be prepared to receive a larger group at once. Remember that by politely asking and negotiating, you lose nothing – at most, you will hear that a discount is impossible, but often facilities meet young couples halfway, also counting on future referrals.

5. Blocking rooms for guests

How and when to book a larger number of rooms? Once you know that many guests from afar will be coming to your wedding, it is worth thinking about booking accommodation for them in advance. Blocking rooms in a hotel means that you agree with the facility on a certain pool of rooms that will be waiting for your guests until a specific date. It is best to make an initial group booking even several months before the wedding – especially if you are planning the wedding in the peak season (spring-summer) or in a popular tourist area. Hotels have a limited number of rooms, and on summer weekends, many events often take place, so a quick reaction will ensure availability. If you are not sure how many people will use the accommodation, you can book an approximate number of rooms to start (better a bit more than less) with the possibility of updating. For example, if you expect about 30 guests needing accommodation, book 15 double rooms and a few extra for any changes. It is important to ask how long the hotel is able to keep these rooms excluded from general sale for you – usually, they ask to confirm the final number, e.g., a month before the arrival date, otherwise unconfirmed bookings may be canceled.

The first option relieves the Bride and Groom – you just need to provide information to the guests, and everyone takes care of themselves. The second gives you more control (e.g., you can decide who shares a room with whom), but it is more time-consuming. Choose the way that is more convenient for you. Remember to maintain contact with the hotel: confirm bookings a few weeks before the wedding, send any changes (e.g., if someone suddenly doesn't show up at the last minute). Good communication will make everything work as it should on the wedding day, and the hotel reception will be prepared for the arrival of a larger group of wedding guests.

A week before the wedding, contact the hotel again to provide final information – the arrival time of guests, a list of names for individual rooms (if you are handling this), and ensure that everything is prepared. Such time organization will help avoid nervous last-minute accommodation arrangements.

6. How to communicate transport and accommodation information to guests?

Including information in wedding invitations. Traditional paper invitations are the first source of information for guests about the details of the ceremony. It is therefore worth passing on the most important arrangements regarding transport and accommodation at the invitation delivery stage. This can be done in several ways. The most popular solution is to attach a separate insert with practical information to the wedding invitation. Such an information card can contain, for example: the address and a map of how to get to the wedding venue, information about organized transport (coach departure times, pickup point), and accommodation proposals along with contact details for booking. The content can be formulated officially or more humorously – it is important that it is clear. Example: "For visiting guests, we have booked rooms at Hotel XYZ (tel. 123456789, password 'Nowak Wedding'). We also provide a coach: departure from the church at 17:30, return from the venue at 3:00." Thanks to such an insert, guests immediately know what to expect and how to plan their participation in the ceremony. If you are delivering invitations in person, you can also mention transport and accommodation verbally, ask if a given person will use them – this will help in further organization.
